Valet Living and MultiPro – Associate and Contractor Privacy Policy

This Privacy Policy applies to the collection, use, and disclosure of personal information by Valet Living, LLC and MultiPro Property Solutions, LLC (together with their affiliates, “the Companies”) about two distinct groups:

  • Associates: Employees, owners, directors, and officers of Valet Living, LLC.
  • Contractors: Independent contractors, suppliers, service providers, and other individuals who provide services to or through a contract with Valet Living, LLC or MultiPro Property Solutions, LLC.

These categories are mutually exclusive: Associates are directly employed by or act in an official capacity for the company, while Contractors provide services independently and are not employees.

We may collect information as described below:

 

Personal Information Collected from Associates (Valet Living, LLC)

  • Identifiers. This includes your name, alias, address, Associate ID, email, telephone number, online identifiers, account name, and login credentials.

  • Other personal Information. This includes your physical characteristics, medical/health info, and insurance policy number. 

 

  • Financial Information. This includes your bank information, and credit/debit card info. This includes information we collect related to investment or financial benefit accounts.

 

  • Demographic Information. This includes your race, color, sex, gender, sexual orientation, age, national origin, religion, marital status, disability, genetic info, military/veteran status, political affiliation, and citizenship status.

 

  • Commercial Information. This includes your corporate card use, and travel/expense reimbursement records. 

 

  • Internet or Electronic Usage Information. This includes your browsing, search history, interactions with websites, apps, or ads when you are using work devices or Valet Living networks. for example, your use of our IT systems and electronic devices used by, or allocated to, you; facilities access and authentication information (e.g., identification codes, passwords)

 

  • Geolocation Information. We collect, where permitted, device location, property/unit entry and exit times.

 

  • Audio/Visual Information. This includes photographs, CCTV/video capture, audio records, system/device usage, text message content from you when you text us.

 

  • Professional or Employment Information. This includes HR records such as job title, supervisor, employment history, work and contact details, compensation, payroll, leave records, performance appraisals, disciplinary and termination information, benefits, work authorization, service scheduling, training, certifications, and insurance. It also includes application materials (CVs, cover letters, qualifications, references, salary history, interview notes, and background checks). 

 

  • Education Information. This includes the institutions you attended, education history and performance.

 

  • Sensitive personal information. This includes social security number, driver’s license/state ID, passport, account login, race, citizenship, religion, health/medical/sexual orientation, and precise geolocation.

Personal Information Collected from Contractors (Valet Living and MultiPro Property Solutions)

  • Identifiers. This includes your name, alias, address, employee/contractor ID, email, telephone number, online identifiers, account name, and login credentials.

  • Other personal information. This includes physical characteristics, insurance policy number, financial/bank info, credit/debit card info, employment history, service/engagement details.

  • Financial Information. We collect your bank information, and credit/debit card info. This includes information we collect related to investment or financial benefit accounts.

  • Demographic Information. We collect demographic information (such as age, gender, or other characteristics) as required by law (subject to engagement and jurisdiction).

  • Commercial information. This includes records of products or services purchased, obtained, or considered, for purposes of travel and expense reimbursement.

  • Internet or Electronic Usage Information. We collect your browsing, search history, interactions with websites, apps, or ads when you are using work devices or Valet Living networks. for example, your use of our IT systems and electronic devices used by, or allocated to, you; facilities access and authentication information (e.g., identification codes, passwords)

  • Audio/Visual Information. This includes photographs and information captured on security systems, including CCTV.

  • Professional or Previous Employment Information. This includes details necessary to fulfill our Service Agreements and includes information such as contractor ID, engagement details, service history, technical skills, training, payment info, references, background screening, scheduling/absences, disciplinary records, contract expiration/termination, system access, use of company IT, text messages with the company. This also includes application-related information, such as your curriculum vitae (CV), cover letter, employment history, qualifications and skills, references, interview notes and background screening information.

  • Education Information. This includes the institutions you attended, education history and performance.

Purposes for Collecting Information

We may use information for the following reasons:

 

Identity, HR, and Relationship Management

  • Associates:
     Your information is used for HR functions such as employment administration, payroll, compensation, benefits enrollment, and participation in company-sponsored programs. We manage your workplace relationship throughout your employment lifecycle.
  • Contractors:
     Your information is used to facilitate contractual agreements, process payments for services, track scheduling, and maintain records of your engagement. We do not use contractor information for any benefit programs.

Engagement and Performance Management

  • Associates:
     We use your personal information to evaluate job performance, conduct training, maintain talent and career development records, handle promotions and succession planning, and address workplace disciplinary actions.
  • Contractors:
     We use your information to monitor service delivery quality, verify completion of contracted work, record skills or training required for services, and track any performance-related issues. Contractors are managed for service fulfillment rather than career progression.

Legal, Compliance, and Risk Management

  • Both Associates and Contractors:
     Information is used to comply with legal and regulatory obligations, support audits, manage risk, document transactions, resolve disputes or complaints, and address requests from courts or government authorities. We use personal data to establish, exercise, or defend our legal rights when needed.

Security, Safety, and Facility Management

  • Both Associates and Contractors:
     We use your information to secure our systems, networks, facilities (including building access and CCTV monitoring), and electronic devices. Additionally, Associates’ health and safety data may inform workplace accommodations or compliance with company safety programs. For Contractors, safety is tracked as part of the service environment.

Communications and Messaging

  • Associates:
    Your contact details may be used for routine HR communications, scheduling, updates about employment, and participation in company-wide initiatives. You may also receive text messages for job-related tasks. By providing your telephone number, you consent to us texting you directly related to your employment or job tasks. Read the “Your Choices” section below to learn how to opt out of text messages. 
  • Contractors:
    We use your contact details to communicate about service assignments, scheduling, and work instructions. Text messages sent to contractors are specific to ongoing service engagements and not related to employment updates. By providing your telephone number, you consent to us texting you directly related to your job tasks. Read the “Your Choices” section below to learn how to opt out of text messages.

Compensation and Financial Administration

  • Associates:
     Data is used for payroll, direct deposit, and benefits management. It is also used for expense reimbursement and company budgeting.
  • Contractors:
     Data supports payment for services rendered, business expense reimbursements, and processing of relevant taxes for independent contractors. Contractors are not eligible for company employee benefits.

Analytics and Service Improvement

  • Both Associate and Contractors:
     We analyze service history, survey responses, and performance records to improve workplace programs and optimize service offerings. Associates’ data may also inform enhancements to HR processes and overall work experience.

Travel, Licensing, and Regulatory Functions

  • Associates:
     Your personal information may be used to coordinate business travel, manage expense reimbursement, and ensure all necessary work qualifications and licenses are maintained for employment.
  • Contractors:
     Travel and regulatory data is used as required for fulfilling service contracts, licensing for specific service tasks, or for reimbursement. Licensing management is tied specifically to what is needed for providing contracted services.

Geolocation and On-Site Services

  • Associates:
     For those providing direct services at properties, we may use geolocation data to manage scheduling, verify timekeeping, and enhance safety. For example, during scheduled work hours we track your location in order to inform and update property managers and residents about your estimated arrival or scheduled pick-up time, entry and exit times and other scheduling matters.
  • Contractors:
     Geolocation data may be collected if relevant for service verification, property access, or tracking work performed at a location. This use is specific to the terms of the contractor’s engagement.

More Information

Some information listed in this Policy may be considered “sensitive” personal information. We do not use or disclose sensitive personal information, as defined by California law, for inferring characteristics or for purposes other than those permitted by law. We do not use or disclose sensitive personal information for purposes that, under applicable law, require us to offer you a right to limit the use or disclosure of sensitive personal information. We keep employee data as long as necessary or relevant. How We Collect and Combine Information

Directly. We may collect information directly from you.

  • Associates:
     
    We collect information directly from you during your application, onboarding, and throughout your employment with the Company. This includes data you provide via HR forms, benefit enrollment documents, timekeeping systems, participation in company programs, communications, and regular work interactions. Direct collection also occurs when you respond to surveys, provide feedback, submit expense reports, or interact with the Workday HRIS system.
  • Contractors:
     
    We collect information directly from Contractors when you engage with us to provide services. This includes data provided during onboarding and contracting, submission of payment and scheduling details, qualifications, background checks, training records, and compliance documentation. Information is also collected directly through communications such as text messages, service portals, and invoice or log submissions.

 

Passively. We collect information from you passively.

  • Associates:
     We may collect information automatically through your use of company devices, networks, and workplace technologies. This can include device and system usage logs, browsing history, geolocation tracking (during on-site assignments), video or CCTV footage, and analytics generated from surveys or feedback.
  • Contractors:
     We may collect data indirectly during your access to our systems or facilities, such as IT system logs, property access records, worksite geolocation data for scheduling or service verification, and any automated footage or records collected while performing contracted work on site.

 

From other parties. We may collect information about you from other parties.

  • Associates:
     We may receive additional information about you from third parties, including background screening providers, references, prior employers, benefit administrators, government agencies, or other Associates (for performance management purposes).
  • Contractors:
     We may receive information from third parties about Contractors, such as references, background check providers, regulatory authorities, or property managers and residents regarding service quality or compliance assessments.

We may combine information that we collect from various sources.

We Disclose Information to Others

Below are times when we may disclose your personal information. 

Affiliates and Subsidiaries. Your personal information may be disclosed to our affiliated companies and subsidiaries for business administration, compliance, and operational purposes. This applies equally to Associates and Contractors.

Service Providers and Agents. We may disclose your personal information with vendors/service providers who assist us with IT maintenance, system operations, data storage, payment processing, communication platforms, or compliance. This applies to both Associates and Contractors.

We disclose information to comply with the law or to protect ourselves. We will disclose your information to respond to a court order or subpoena. We will also disclose in response to a government agency or investigatory body request. This applies to both Associates and Contractors.

 

We will transfer information to successors to all or part of our business. If we sell all or part of our business, we may transfer all categories of information as part of that transaction. If there is a merger or acquisition, we will do this as well. This applies to both Associates and Contractors.

Property Owners, Managers, and Residents

  • Associates: If you provide on-site services to properties, your name and contact details, work status, and entry/exit times may be disclosed for management and operational reasons.
  • Contractors: If you provide services on-site, your name and contact information, along with relevant compliance or background check data, may be disclosed to property owners, managers, and residents in connection with scheduling or service delivery.

Other Associates

  • Associates Only: Information about your job performance or workplace interactions may be provided to other Associates as part of managing HR functions, performance reviews, or collaborative work assignments.
  • Contractors: Not applicable.

Reporting to Property Managers

  • Associates: Service reporting may include details about the associates supporting a property (e.g., names, contact info, compliance status). 
  • Contractors: Similar property-level reporting may apply if your role involves on-site services.

Background and Compliance Checks

  • Associates: Employment, licensing, drug testing, and background information may be disclosed as needed for employment verification and regulatory compliance.
  • Contractors: Compliance, licensing, and background check data may be provided to property managers and regulatory authorities, as required for contractual obligations.

Your Choices and Rights

Test Messaging: You can opt out of text messages by texting STOP to the appropriate short code program (or in reply to the text message), or by emailing us at [email protected]. 

If you are an Associate or Contractor who lives in California, you may have additional rights. Those rights depend on our relationship with you and have certain limitations that are subject to change. This might include if a legal exception applies. If that is the case, we will not be able to process your request.

The rights include the following and may be offered based on your location:

  1. Access: this includes finding out the categories of information we have about you and the purposes of processing. You also have the right to find out where your information was collected from and how it is being used by us. 
  2. Portability: this includes asking us to provide you with (a copy of) your information in a structured, commonly used, and machine-readable format.
  3. Deletion: to have us delete information we collected from you.
  4. Correction: asking us to fix your information.

How it Works

You can exercise your rights by contacting us via toll-free at (877) 574 – 2587 or via our online webform here . When you submit your request, we use the information you provide to verify your request. We do this by matching the information you provide with information we already have about you. In some situations, we may not be able to process your request. This may include if there is a legal exception. If you disagree with our decision, you can contact us as described at the email or mailing address provided above. We will not discriminate or retaliate against you because you exercised your rights.

Authorized agents

If you are submitting a request on behalf of an eligible resident, we may ask for additional information to verify your identity. This may include providing proof that you are registered with the Secretary of State to act on someone’s behalf or proof of being a power of attorney (POA).

Under California law we are required to tell Californians if we “sell” or “share” information as that term is defined by applicable law. Sell is defined under the law as disclosing personal information to a third party for monetary or other valuable consideration. Share is specifically defined under the law as well as sharing personal information with a third party for cross-context behavioral advertising. California employees and contractors, we do not “sell”, or “share” employee data based on our understanding of those terms. If you interact with us in other ways, you may have different rights.
